Order Management: Optimizing the Order Management Process for Print‑On‑Demand

Order Management is a feature in Sellerwix that connects POD merchants (sellers) with top print‑providers (suppliers), enabling a more diverse product catalog and flexible supplier options aligned with sellers’ budget and business goals.

1. Get Order

“Get Order” is a function that helps users retrieve orders into the system at the desired time.

Go to the Order section and select Get Order.

Select the store from which you want to retrieve orders.

In Sellerwix, manual order retrieval (get order manual) can be done in 2 main ways:

Method 1: Manual Order Retrieval by Time Range

When to use: Retrieve orders within a specific time range.
Purpose: Suitable for managing bulk orders, analyzing trends, or updating orders daily, weekly, or monthly.
Automatically fills in the following fields by default:
- Select Store: Select the store to Get orders from.
- Select status: Select the status of the order to Get (should select all).
- Last Updated Date after, Last Updated Date before: Time range to Get orders.
- Marketplaces: Select the marketplace to Get orders from (can select all).

Click the Get button, and the retrieved orders will be in the Order section.

Method 2: Manual Order Retrieval by Order ID

When to use: Retrieve a specific order by ID.
Purpose: Troubleshooting, verifying orders, or checking details of a specific order.

Enter the Order ID in the search bar:

Order ID: Specific order code.

Click the Get button, and the retrieved orders will be in the Order section.

2. How to Import Orders into the System

Step 1: Click the Setting icon in the top right corner of the screen – Select Import Order

Step 2: Upload CSV File to the system:

Upload a CSV file containing Order information (can use CSV files exported from eBay, Etsy, Amazon, or other marketplaces).
Select the store you want to import orders to.
Select Template to import the CSV file. You can arrange and merge the default fields of the file to suit your personal criteria.

The system will display default headers to map order information columns by store.

Select an existing template to automatically adjust the necessary fields. Then, click “Import”. You can create your own template to import data without using an existing template.

Drag fields from the CSV file to the corresponding fields in the system, then click “Import”.

Name the template and click Save.

Note: When importing orders for the first time, you can create your own template.

For subsequent imports, just select the created template, and the system will automatically fill in the fields as set without needing to readjust.

3. Filter Order and How to Save Filter Order

Step 1: Go to the Order section

You can search by Name, Shipping Name, Shipping Phone

Step 2: Select Filter. Click the [+] button, then select the value you want to filter to find that order.

Step 3: After you click Apply

and click Search

Step 4: To filter the desired fields, click the Search button.

You select [+] to Custom Filter, a new dialog box will open to save the filtered filters.

Step 5: Enter information into the fields, then select Create to save the Filter

Name: Name of the Filter
Description: Description of the Filter
Default: For users to use when they want to display the saved Filter on the screen and can turn off that button to hide less frequently used Preset Filters. For hidden Filters, users can search using the “3 dots” button Search the Filter in the top right corner of the screen.

Step 6: After performing the above steps, the order filters will be displayed as shown in the image below.

In addition, click Edit to change the Filter name and add more search values.

4. Order Statuses and How to Fulfill Orders

After you have started bringing orders into the system, you need to review the status of those orders to complete the information if necessary. Orders after being retrieved or Imported into the system can have the following statuses that you need to pay attention to:

4.1. Out Of System

This is the status of an order when it is retrieved into the system but the Product was not created from the system. You need to get the Product to have information to fulfill the order:

Method 1: Click to open order details at the button in the bottom left of the order.

Then, you can Get Product Manual by clicking the Get product icon.

Method 2: Go to the Stores section, in the Scheduling column, click the Schedule Auto Get Orders icon.

Then check the Auto Get Products section to ensure Products are automatically retrieved into the system.

4.2. Missing Supplier

This status occurs when you have not selected a supplier for the order.

To fulfill the order, you need to fully select the blank product information.

Step 1: Click the shopping cart icon to update.

Step 2: Then select information fields such as Supplier, Category, and Product and you can change the Shipping Method if you do not want to choose the default shipping method.

Step 3: Update additional information about Size, Color, Print Area, etc., and click Save to complete the supplier selection step.

The “Only at this time” feature

When this feature is enabled, Supplier and Design are only set for that order; other orders with the same SKU will not be synchronized.
When this feature is disabled, the Supplier and Design added for this SKU will be saved. In subsequent times, you will not need to re-select Design and Supplier, as the system has already recognized the Design and Supplier that the user fulfilled previously.

After completing the information update, including uploading the design for the product, the order status will be updated to “Available” as shown below:

4.3. Missing Fields

When an order is in Missing Fields status, it means that the order is missing required information. This status can be changed by following these steps:

Step 1: Check the Product status and then click the pencil icon to Edit Shipping Address.

Note: The Duplicate Order feature can be applied to all Orders.

Step 2: Proceed to fill in the missing information in the fields (these fields will be highlighted in red).
Step 3: Select the Update icon at the bottom of the dialog box to complete the information addition.

4.4. Varying Shipping

This status occurs when 1 order has 2 items fulfilled by the same Supplier, but the 2 Shipping Methods are different.

You can click the Supplier icon highlighted in red in the image to update the same Shipping Method for the items.

4.5.Error

This status occurs when an order has errors such as an incorrect address, incorrect design dimension, etc. Depending on the reported error, you can Edit Shipping Address, modify the information accordingly.

Hover over the Supplier logo for more detailed information.

4.6. Available

This status indicates that the order meets the requirements and is ready to be fulfilled.

4.7. FulFill

When the Order meets the requirements and is ready to be fulfilled (Order is in Available status).

At this point, you can click the checkbox for the orders and click the Fulfill button, then confirm to fulfill.

Confirm fulfillment in the dialog box that appears after clicking Fulfill.

Orders will be in Processing status for a short period after confirming fulfillment.

4.8. Order Fulfill Thành công

Order is produced and has a valid tracking, updated to the store.

4.9. Canceled

This status occurs when the Order has been successfully canceled on the system.

Users can duplicate this order to edit and continue fulfilling.

4.10. On Hold

This status occurs when Suppliers process orders slower than usual.

In this case, Sellerwix will proactively monitor the order status on the Supplier’s side on behalf of the user and notify the user if any errors occur.

4.11. Pending

Pending is the status of an Order when the user has confirmed the order address is correct and has ticked the checkbox “I make sure that all information has been checked and verified by customer“, however, the Supplier still reports an address error when Fulfilling.

In this case, Sellerwix will proactively monitor the order status on the Supplier’s side on behalf of the user and notify the user if any errors occur.

4.12. Customized Info

For Amazon personalized products, you can click the Customize Info icon to view the personalized order item information.

After custom orders are retrieved into the system, you can choose to add/delete items by clicking the icons below:

Note: Each Parent Item must have at least one Child Item. You cannot delete all Child Items of a Parent Item.

4.13. Xoá Item trong một Order

Step 1: Duplicate the order with the item to be deleted by clicking the Duplicate button in the Action column.
Step 2: Click the Delete button to delete the items that need to be deleted.

Note: To ensure the correct order information is retrieved from Stores or imported from a CSV file, the system only deletes order items from orders duplicated from the original order.

5. Tracking Order

1. Monitor and Manual Get Tracking

In cases where an order has new Tracking that the Supplier has not yet updated, or the user wants to add tracking for an order fulfilled by an external Supplier, the Manual Tracking feature can be used.

Step 1: Click the Manual Tracking icon:

Step 2: Update the Tracking information for the order.

3. Highlight New Tracking And View Tracking History

You can review changes to an order’s Tracking with the Tracking History feature.

6. Check Design on Print Area

1. Steps to Check Design on Print Area

Step 1: Click the + icon of the supplier

Step 2: Select Supplier, Category, Product, Color, Size and upload Design

Step 3: After selecting the blank product information, there will be a blue Preview Design button below the blank product image.

Note: Currently, Sellerwix supports this function for the following suppliers: Gearment, CustomCat. For products with an official Template for Design, the system will support Preview Design. For products without a template from the Supplier, the Preview Design button will not be displayed.

You can contact Customer Support to add more products from Suppliers that do not yet have a template.

7. Export Order

The system will Export orders already in the system

Step 1: In Order Management, click Icon
Step 2: Select Export

Step 3: Here, select the time range you want to Export orders.
- The fields on the right are the fields that will be Exported.
- The fields in the left column will be the fields that are not exported.
- If you don’t want to export a field, you can drag it to the left column (and vice versa).

Step 4: Select Export

Step 5: Click History, select Import/Export.
You just need to select Download to download the Export file.

Note: When importing orders, Purchase date should be included, otherwise that order cannot be Exported.

8. Upload Design

The system has a Floating Upload Icon

1/ Description: This function allows users to upload and monitor file upload progress from any page on Sellerwix via a floating upload icon, always displayed on the screen.

2/ Purpose: Helps users easily manage file upload progress without having to leave the current page. Optimizes user experience by reducing the time to check upload progress.

3/ Benefits:

Smooth experience: Users can easily manage upload progress without leaving the current page.
Minimize errors: Detailed monitoring of upload status helps users quickly detect and handle errors.
Optimize time: Save time by allowing bulk uploads and checking status directly on the main interface.

Key Features:

Display upload progress: The floating icon will display the upload status of each file, including the number of files being uploaded, completed, or failed.
Check upload status: Users can easily view details about the file being uploaded, file size, and completion status (completed, error, or processing).
Manage files by group: Files are categorized into categories such as Product, Order, Design Task, and Files.
Direct link: Click on the file name, the system will take the user back to the file’s previous upload location.

Có tài khoản Etsy không khó, nhưng để duy trì và kinh doanh hiệu quả còn cần rất nhiều kinh nghiệm và nắm rõ những lỗi sai cần tránh. Dưới đây là 4 lỗi mà các người bán hàng chuyên nghiệp chỉ ra cho người “mới chơi hệ Etsy” cần tránh để không bị mất tiền oan, mất tài khoản không thương tiếc.

1. Dùng ảnh chụp không hút mắt

Hình ảnh là thứ đầu tiên thu hút người mua hàng trên Etsy nói chung và các sàn Thương mại điện tử (E-commerce) nói riêng. Vậy nên, trước khi bắt đầu mở cửa hàng kinh doanh hay có ý định kinh doanh bất cứ sản phẩm nào, cần đầu tư hình ảnh thu hút và nghiêm túc: đủ sáng, đủ các chi tiết, có hình ảnh mang tính đời thường, tập trung đầu tư cho hình ảnh chính của sản phẩm.

2. Viết phần mô tả không đúng trọng tâm

Mô tả sản phẩm là điểm thứ hai mang tính thu hút, khiến khách hàng hứng thú với việc mua sản phẩm. Vậy nên cần đầu tư phần mô tả kĩ càng, móc nối liên quan với khách hàng để họ có thể ra quyết định mua hàng nhanh hơn. Mẹo nhanh cho người bán hàng:

Học từ đối thủ, từ những cửa hàng bán tốt sản phẩm tương tự
Học từ những chiến dịch Etsy thành công trước đó của mình hoặc của những người có quy mô kinh doanh tương tự

3. Không chú trọng SEO (Search Engine Optimization)

Việc tối ưu hoá công cụ tìm kiếm (SEO, Search Engine Optimization) nội – ngoại sàn rất quan trọng. Nếu chỉ tập trung bán sản phẩm mà không quan tâm SEO hay biết quá ít về SEO, khả năng cao bạn sẽ không bán được hàng. Những điều cần ghi nhớ:

Chú trọng phần mở đầu và mô tả
Sử dụng blog hoặc các kênh mạng xã hội để quảng bá cho cửa hàng và sản phẩm của mình
Tối ưu SEO trong cửa hàng cho các sản phẩm liên tục

4. Không nghiên cứu sản phẩm, sản phẩm không đặc sắc

Nhiều lời khuyên cho người mới bán Etsy là nên bắt đầu bán sản phẩm thủ công (handmade) trước khi bán hàng Print-on-demand hay file Digital.

Tuy nhiên, dù là bán handmade cũng cần lựa chọn sản phẩm độc đáo, có tính cạnh tranh và nổi bật trên thị trường. Vậy nên, cần chọn sản phẩm có khả năng bán tốt/niches ít cạnh tranh để dấn thân.

Map order item

Now available on Sellerwix’s system, this feature empowers users to select a series of orders that require updating. All you need to do is follow the steps below:

Step 1: Go to the Order page >> Select the orders you want to update >> Click the Map order button

Step 2: The Order Item table of the selected orders will appear

Step 3: Users can choose Supplier products or update the design in order of items

To use this feature, simply follow these steps:

Go to the order page >> Select the orders you want to update

Use Map order feature to export CSV file >> Click Export button

System will navigate to Log/Action page
Click the Link and download to download the CSV file to your computer

Open the downloaded file and edit it

To update product and supplier, fill in the following 4 columns:

Supplier
Variant ID
Shipping Method
Print Area

To update the design, enter the design link in the Design URL column

After updating the file >> Go back to the order page and click the Bulk import design & Product button

Select or drag the updated file from the export file

Click the Save button (The system will automatically map the necessary columns from the CSV file)

The system will update the order information according to the information from the CSV file

Bonus tips

To import products and suppliers, the data will be used together with the data of the Import order (Variant ID – Sellerwix Prime)
Map Order, Bulk Import Design & Product features can only be used for orders that have not been fulfilled or on Error status
After import file, designs, and products/suppliers will be updated and overwritten based on the CSV file
Order item after updating design, only this item status of that order will be enabled so that it won’t affect other orders
When the system is updating the order, the status will be On Matching
If the order is in On Matching status for too long, the user can manually update the Product/Supplier and Design to proceed with fulfillment

Sellerwix is excited to announce a new feature! You can now receive notifications via Email and/or Telegram with late shipment orders.

We all know that timely delivery is crucial to maintaining customer satisfaction and loyalty. However, sometimes unforeseen circumstances can cause shipping delays, leading to frustrated customers and negative reviews.

That’s why we’re thrilled to announce our new feature that enables you to receive notifications via email and/or Telegram whenever a shipment is delayed. With this feature, you’ll be able to proactively reach out to customers and keep them informed about the status of their orders, minimizing the chances of negative feedback and improving their overall shopping experience.

In this blog, we’ll dive deeper into the benefits of this new feature, discuss how it works, and provide step-by-step instructions on how to set it up in your Sellerwix account. So, keep reading to learn more!

Guide for configuring Email and/or Telegram notifications

All you need to do is follow the steps below:

Step 1: Go to Settings >> Alert >> click Create to create a new alert
Step 2: Configure notification settings

a. Email notifications

Once you have an account and choose a selling plan, you can access Setting Central to configure Email notifications. Simply follow the steps outlined below:

Name: Enter a name to create a new alert
Channel: Email
To: Enter the email you want the tracking notification to be delayed
CC (optional): Enter the email you want CC to
BCC (optional): Enter the email you want BCC to go to
Late Shipment: Turn on and enter the number of days you want to be notified if the order has not been delivered (delivered) after xx days

Before activating recurring alerts for late shipment tracking, it’s important to take note of the optional settings and ensure seamless logistics notifications for delivery delays.

On: If you want to notify again if the tracking is still not delivered the next day
Off: If you only want to be notified once with an order with tracking not yet delivered

b. Telegram notifications

Streamline shipment management with Telegram notifications for delayed orders. Follow earlier Email installation steps and these essential tips:

Chat ID: To get chat ID, follow these steps:

Create a new group on Telegram
Add a bot named Sellerwix_bot to the newly created group
Click the Send verification code button to let the bot send the verification code
Enter the Code from the Bot sent in the telegram group into the Verification Code box to verify

Notify User (optional): Enter the telegram user you want to tag @example_telegram

All tracks: Turn on the notification if there is any tracking from the supplier to the order

New tracking: Enable notifications for orders with new tracking

Deposit: Enable notification of acceptance or rejection of deposit request

7 steps to selling with Amazon FBM Merchant Fulfilled Network

As long as you recognize your obligations to your customers and have suitable systems in place, it can be relatively straightforward to set up as an Amazon MFN seller. All you need to do is follow the steps below:

Step 1: Create an Amazon seller account

Once you create your seller account and choose a selling plan, you’ll have access to Seller Central, your go-to resource for selling on Amazon.com. Before you sign up, make sure you’re ready with the following:

Business email address or Amazon customer account
Quality, competitive price
Government ID (identity verification protects sellers and customers)
Tax information
Phone number
A bank account where Amazon can send you proceeds from sales

Step 2: List products for sale and create product pages

How you go about listing will depend on if you have existing listings, need to create new listings, and whether you want to create listings one by one or in bulk. Help shoppers find items by adding descriptive titles, clear images, and concise feature bullets on offers.

Listing an FBM product is largely the same as creating any other product offer.

Using the steps outlined above, once you reach the part of the offer that reads ‘Fulfillment Channel’, select the radial that states ‘I will ship the item myself (Merchant Fulfillment).’

After the product appears in Amazon’s catalog, you will find your Merchant Fulfilled products under Inventory > Manage Inventory. Make sure you check ‘Active’ for ‘Status’ and ‘Merchant’ for ‘Fulfilled by.’

Step 3: Manage your storage space, warehouse, or fulfillment center

The more efficiently you manage inventory, the more profitable your business can become. Try to have enough inventory to cover demand, but not so much that you become overstocked.

Continuously manage inventory to get a return on your investment. It’s essential to have enough inventory to meet customer demand, especially during seasonal holidays or peak sales events such as Cyber Monday or Prime Day.

Step 4: Set up your shipping templates to match your logistic capabilities for both handling time and transit time

Through the Seller Central dashboard, you can assign shipping templates from the Manage Inventory dropdown menu. Create large batch shipping templates and assign them to specific offers that match your logistic capabilities for specific products.

Additionally, through the Seller Central dashboard, you can set your Default Handling Time and Order Handling Capacity to ensure that you are protected from a surge in orders.

Step 5: Coordinate picking, packing, and shipping for orders

Once a customer completes a transaction, order processing begins. If you want to handle fulfillment in-house, be sure you have the capacity to efficiently pick, pack, and ship orders to customers. You will also want to make sure that the carriers you will be using are part of our valid tracking rate network of carriers.

A critical part of order processing is choosing the right packaging. This could be:

Boxes
Paper or bubble mailers
Packing material such as bubble wrap or air filter

Be sure to follow all Amazon requirements for packing and preparation to minimize costs and avoid damaging items in transit.

Step 6: Handle customer service and returns in-house

Providing great customer service is essential for success on Amazon. Research shows that orders, where sellers respond to customers’ messages within 24 hours, receive half as much negative feedback as orders with response times over 24 hours. (source)

Excellent customer service includes handling returns swiftly and efficiently.

Use the “Request Review” button to encourage customer feedback

Step 7: Consider FBM costs and fees

Costs vary based on many factors, including:

Your selling plan. Learn about the differences between an Individual or Professional plan
Referral fees. For every item sold, sellers pay Amazon a percentage of the total price – including item price, shipping cost, and any gift-wrapping charges – or a minimum amount, whichever is greater

While the majority of Amazon sellers use the Fulfillment by Amazon (FBA) method to store and ship products from Amazon’s warehouses, some have turned to Fulfillment by Merchant (FBM) due to inventory restock limits affecting FBA.

In this article, we will provide you with the necessary information to begin selling on Amazon and fulfilling products through FBM.

What is MFN - FBM?

Merchant Fulfilled Network (MFN) is Amazon’s terminology for Fulfilled by Merchant (FBM). It refers to a method of selling where sellers list products in Amazon stores but manages all storage, shipping, and customer support independently. There are various factors to consider when choosing how to fulfill customer orders when you sell in Amazon’s stores. It can be a challenge to decide how to store inventory, pack and ship products, and handle returns or refunds, all while staying on top of excellent customer service.

How MFN (FBM) works?

Sellers with the Individual plan

These sellers use Amazon’s set shipping rates for all products. Individual sellers ship orders at the set rates even if the shipping credit is less than the total shipping costs, so it’s important to price items in a way to make sure you’ll earn a profit.

Sellers with the Professional plan

Sellers on the professional selling plan who choose FBM can set their own shipping rates. They can customize shipping templates for specific regions domestically or internationally including handling and transit times. Professional sellers can customize shipping charges by order, per item, and/or weight. You can also create a multitude of shipping templates and assign them to your specific offers to match your logistic capabilities for specific product types. Remember that the referral fee is calculated from the total sale price, which includes the item price, shipping cost, and any gift-wrapping charges. What are FBM and FBA?

Fulfillment by Merchant (FBM) refers to a method of selling where a seller lists products on Amazon but manages storage, shipping, fulfillment, and customer support independently. Amazon refers to this as Merchant Fulfilled Network (MFN).

Fulfillment by Amazon (FBA) refers to a method of selling where you send products to Amazon’s fulfillment centers, and we pick, pack, ship, and provide customer service for those products.

Which types of businesses will benefit most from opting for Amazon FBM?

Amazon recommends situations where you might consider using their Merchant Fulfilled Network (i.e., FBM). They suggest that FBM could be most suitable for you if one or more of the following situations applies:

Obviously, not all of these will apply to every seller using FBM. For example, many large-scale Amazon sellers opt for FBM because they sell through multiple channels and already have smooth-running logistics systems.

Amazon clearly wants to sell FBA services, however. For example, Amazon’s help files on FBM highlight that “Sellers who adopted FBA last year saw 20-25% higher sales.” Nonetheless, for many businesses, FBM will be the most suitable option.

The main benefits of selling using Amazon FBM/MFN

The main benefit of using FBM is that it ensures you control your inventory. However, assuming you can store and ship your merchandise and take on responsibility for customer support inquiries, returns, or complaints, you may be able to price your goods more competitively than with FBA, as you don’t have to pay Amazon’s fulfillment fees.

Another benefit of using Amazon’s MFN is that you can combine all your online sales channels with Amazon’s fulfillment network and provide fast delivery. You can operate your business using a single inventory source with full shipment tracking across all your sales channels.

Wrapping Things Up

Most Amazon sellers can select FBA (Fulfillment by Amazon) or FBM (Fulfillment by Merchant). However, there are some cases where you have no option. For example, if your business model is based on dropshipping, you must opt for FBM, as the model relies on a third party to fulfill orders.

Another obvious use case for FBM is with Amazon Handmade, Amazon’s artisan-only community of sellers. In this case, artisans create unique goods they sell in the marketplace. As these are custom, you can’t sell them using FBA.

FBM is also better if you sell heavy, bulky goods, as Amazon FBA charges extra fees for handling oversized goods.

In other situations, however, both fulfillment models have pros and cons. Therefore, you might consider experimenting with FBA and FBM to see which works best for you.

What you should know about Etsy's Purchase Protection Program

On the rare occasion that something goes wrong during the buying process, we’re here to help. Etsy’s Purchase Protection program allows you to shop confidently knowing you’ll receive a full refund for qualifying orders when your item:

Doesn’t arrive
Arrives damaged
Differs significantly from the item description or photos (for example: the wrong material or color)

Any order that is shipped on or after August 1, 2022 is eligible for Etsy’s Purchase Protection program.

If you’re unsatisfied with an order that doesn’t meet the criteria for Etsy Purchase Protection, please check the seller’s policies to see if they accept cancellations, returns, or exchanges.

How do I get my refund?

If you believe your order qualifies for Etsy Purchase Protection, the first step is to reach out to the seller by starting a Help request. 90% of order issues can be resolved by working with the seller. Learn how to get your Help request started.

If the issue hasn’t been resolved and it’s been 48 hours since you first messaged the seller, and the estimated delivery date for your order has passed, ask Etsy to step in to help you get your refund. You may need to provide some photos of damaged or misrepresented items. Learn how to get Etsy’s help by opening a case.

Once your refund eligibility is confirmed, Etsy sends you a confirmation email.

You must have an Etsy account to start a Help request. If you purchased an item as a guest, connect your order to a new or existing Etsy account so you can be eligible for the Purchase Protection program.

An occasional case opened against a seller will not negatively impact them or their shop.

All cases that are opened on Etsy are taken seriously, and are reviewed carefully by their case team to ensure the right decision is made. Etsy is a marketplace where you can sell your handmade goods, vintage items, and craft supplies directly to buyers around the world. We want to make sure that you and your buyers have a positive experience on Etsy and Sellerwix. Please read on to find out more about your rights, as well as what is expected of you, as a seller.

This policy is a part of Etsy’s Terms of Use. By opening an Etsy shop, you’re agreeing to this policy and our Terms of Use.

1. Selling basics

Keeping in mind these basic requirements will set you up for success on Etsy.

a. What can be sold on Etsy

Etsy is a unique marketplace. Buyers come here to purchase items that they might not find anywhere else. Everything listed for sale on Etsy must be handmade, vintage, or a craft supply.

Handmade items are items that are made and/or designed by you, the seller. Read our full Handmade Policy here.

If you sell handmade items, you agree that:

All handmade items are made or designed by you. If you work with a production partner, you must disclose that production partner in your relevant listings.
You accurately describe every person involved in making an item in your shop in your About section.
You are using your own photographs or video content — not stock photos, artistic renderings, or photos used by other sellers or sites. Read more about using appropriate photographs in this Help article.

If you are selling personalized or made-to-order items in the Handmade category, you agree that:

All listings are available for purchase at a set price.
If you are using photographs of previous work with options for customization (like color choices) included in the listing, it is clear in your description that the photos shown are just examples.

Vintage items must be at least 20 years old. Click here to learn more about vintage items on Etsy.

Craft supplies are tools, ingredients, or materials whose primary purpose is for use in the creation of an item or special occasion. Craft supplies may be handmade, commercial, or vintage. Party supplies may also be sold as craft supplies. Click here to learn more about what may be sold as a craft supply.

We encourage you to be transparent about how your craft supplies were made and where your materials come from. You can disclose whether your items have social or environmental attributes, such as organic or recycled. You can also select the location of manufacture. Learn more here.

b. What cannot be sold on Etsy

Even if they otherwise meet our marketplace criteria, prohibited items, services, and items that violate our intellectual property policies are not allowed to be sold on Etsy. All listings must offer an item for sale (which includes digitally delivered items and can also include reserved listings). You may not create an Etsy listing for the purpose of sharing a referral code, posting a want ad, or similar activity that does not offer a physical or digital item for sale.

Reselling is not allowed in the handmade category on Etsy. Reselling refers to listing an item as handmade when you were not involved in designing or making that item.

Keep in mind that members or, in some cases, third parties, may flag listings that appear to violate our policies for Etsy’s review. Etsy may remove any listings that violate its policies. Note that listing fees are non-refundable. Etsy may also suspend or terminate your account for any violations. You’ll still be on the hook to pay any outstanding fees on your Etsy statement. If you are raising money on behalf of a charity, you must obtain that charity’s consent. Please see this Help article for more information about donating any portion of your sales to charity.

c. Managing your Etsy shop

Your shop represents you and your business to the Etsy community. It’s important that you, your items, and your shop are honestly and accurately represented.

By selling on Etsy, you agree that you will:

Provide honest, accurate information to Etsy and in your About section.
Honor your Shop Policies.
Ensure your shop content, such as any text, photos, or videos used to represent yourself, your shop, or your listings, abide by Etsy’s policies, including Etsy’s Anti-Discrimination Policy.
Accurately represent your items in listings and listing photos.
Respect the intellectual property of others. If you feel someone has violated your intellectual property rights, you can report it to Etsy.
Not engage in fee avoidance.
Not create duplicate shops or take any other action (such as manipulating clicks, carts, or sales) for the purpose of shilling, manipulating search or circumventing Etsy’s policies.
Not coordinate pricing with other sellers.

d. Seller standards

By listing a product for sale on Etsy you understand and agree that you are responsible for complying with all applicable laws and regulations for the products you list for sale, including any required labels and warnings. Etsy assumes no responsibility for the accuracy, labeling, or content of your listings.

Meeting service level standards

As a seller, you must provide great customer service and maintain trust with your buyers. These requirements are called Etsy Seller Service Level Standards. Etsy may reach out to you if your shop fails to meet Etsy’s Seller Service Level Standards. Read more here.

By selling on Etsy, you agree to:

Honor your shipping and processing times. Sellers are obligated to ship an item or otherwise complete a transaction with a buyer in a prompt manner, unless there is an exceptional circumstance. Please be aware that legal requirements for shipping times vary by country. Read more in Etsy Shipping Policy.
Respond to Messages in a timely manner.
Honor the commitments you make in your shop policies.
Resolve disagreements or order issues directly with the buyer. In the unlikely event that you can’t reach a resolution, Etsy can help through our case system. Read about your rights and responsibilities regarding cases here.
If you are unable to complete an order, you must notify the buyer and cancel the order. Read about how to cancel an order in this Help article.

e. Selling fees

Sellers may be charged for using some of Etsy’s services. There are fees associated with listing, selling, advertising, and certain other Etsy products and features. You can find information on fees in the Fees and Payments Policy.

2.Being a member of the Etsy community

At Sellerwix and Etsy, everyone is expected to treat fellow members of the Etsy community with respect. As a seller, you have additional responsibilities to safeguard personal information and communicate promptly with buyers in order to provide a great customer experience.

a. Creating and uploading content

As a member of Etsy, you have the opportunity to create and upload a variety of content, like listings, messages, text, photos, and videos. In order to keep our community safe and respectful, you agree that you will not upload content that is:

Contains hateful or derogatory language or imagery, or any content that is subject to Etsy Anti-Discrimination and Hate Speech Policy;
Contains threats, harassment, extortion, or violates Etsy rules about interference;
Violates someone else’s intellectual property rights;
Is false, deceptive, or misleading;
Contains unsolicited advertising or promotions, requests for donations, or spam;
Contains private information, whether it is your own, or someone else’s;
Encourages or facilitates a transaction that evades the Etsy checkout process;
Contains prohibited medical drug claims;
Violates any of the rules described in Etsy Prohibited Items Policy.

b. Privacy and protecting personal information

You are responsible for protecting members’ personal information you receive or process, and you must comply with all relevant legal requirements. This includes applicable data protection and privacy laws that govern the ways in which you can use Etsy user information. These laws may require that you post and comply with your own privacy policy, which must be accessible to Etsy users with whom you interact. Your privacy policy must be compatible with this policy and Etsy’s Terms of Use, and Etsy’s Privacy Policy.

In particular, when you sell using our Services (subject to this Policy) or use Etsy’s API (also subject to the Etsy API Terms of Use), you may receive and determine what to do with certain personal information, such as when communicating with users and entering into transactions with buyers. This means you process personal information (for example, buyer name, email address, and shipping address) and, to the extent you do so, under EU law, you are an independent controller of data relating to other users that you may have obtained through the Services. For more information on the General Data Protection Regulation, see more resources at https://gdpr-info.eu and http://gdprandyou.ie. As a data controller (that is someone who decides what personal data is collected and the purpose you’ll use the data for) to the extent that you process user personal information outside of the Services, you may be required under applicable data protection and privacy laws to honor requests received from such users for data access, portability, correction, deletion, and objections to processing. Also, if you disclose personal information without the buyer’s proper consent, you are responsible for that unauthorized disclosure. This includes, for example, disclosures you make or unintentional data breaches. For example, you may receive a buyer’s email address or other information as a result of entering into a transaction with that buyer. This information may only be used for Etsy-related communications or for Etsy-facilitated transactions. You may not use this information for unsolicited commercial messages or unauthorized transactions. Without the buyer’s consent, and subject to other applicable Etsy policies and laws, you may not add any Etsy member to your email or physical mailing list, use that buyer’s identity for marketing, or obtain or retain any payment information. Please bear in mind that you’re responsible for knowing the standard of consent required in any given instance. If Etsy and you are found to be joint data controllers of personal information, and if Etsy is sued, fined, or otherwise incurs expenses because of something that you did in your capacity as a joint data controller of buyer personal information, you agree to indemnify, defend and hold Etsy (and its employees, agents, consultants, subsidiaries, partners, affiliates, and licensors) harmless against any claims, costs, losses, damages, liabilities, judgements and expenses (including reasonable attorney fees) in connection with your processing of buyer personal information. c. Communication standards

i. Messages

With Etsy’s “Messages”, you have the ability to communicate directly with your buyers or other Etsy members. Messages are a great way for buyers to ask you questions about an item or an order.

Messages may not be used for the following activities:

Sending unsolicited advertising or promotions, requests for donations, or spam;
Harassing or abusing another member or violating our Anti-Discrimination Policy;
Contacting someone after they have explicitly asked you not to; or
Interfering with a transaction or the business of another member.
Exchanging personal contact, financial or other information for the purposes of evading the checkout process on Etsy, including phone number, address, email, social media handles, external URLs, instructions for money transfer, etc.

Interference

Interference occurs when a member intentionally interferes with another member’s shop in order to drive away their business. Interference is strictly prohibited on Etsy. Examples of interference include:

Contacting another member via Messages to warn them away from a particular member, shop, or item;
Posting in public areas to demonstrate or discuss a dispute with another member;
Purchasing from a seller for the sole purpose of leaving a negative review;
Maliciously clicking on a competitor’s ads in order to drain that member’s advertising budget, also known as “click fraud.”
Creating or using an independent buyer account to maliciously upvote another shop’s negative reviews in order to position those reviews more prominently.

Harassment and discrimination

Any use of Messages to harass other members is strictly prohibited. Similarly, Messages may not be used to support or glorify hatred or otherwise violate our Anti-Discrimination Policy. If you receive a Message that violates this policy, please let us know right away.

ii. Forums and teams

Forums and Teams are public spaces provided by Etsy where sellers can connect, but there are communication standards that must be followed. More information can be found in the Etsy Community Policy.

iii. Communicating cancellations

If you are unable to complete a transaction, you must notify the buyer via Messages and cancel the transaction. If the buyer already submitted payment, you must issue a full refund. You are encouraged to keep proof of any refunds in the event a dispute arises. All cancellations are subject to our Cancellation Policy.

European Union Right of Withdrawal Buyers in the European Union (EU), and in parallel buyers in the UK, may be entitled to a 14-day “right of withdrawal” after receiving an item, during which they may return an item for any reason. The details of this right vary by EU member state or in the UK. The right of withdrawal may not apply to certain items like custom items or perishable goods. Please be aware that in addition to this policy, each country has its own laws surrounding shipping, cancellations, returns, and exchanges. Please familiarize yourself with the laws of your own country and those of your buyers’ countries.

Sellers may still cancel an order and work toward a resolution with a buyer as they see fit for policies applied to their shops, such as the digital items policy.

3. Feedback, cases and your successt

a. Reviews

Reviews are a great way for you to build a reputation on Etsy. Buyers can leave a review, including a one to five star rating and a photograph or video of their purchase, within 100 days after the latter date of their item’s estimated delivery date. If an estimated delivery date is not available, the review window opens after the order’s processing time and shipping time have elapsed. Buyers can edit their review, including the photograph or video, any number of times during that 100 day period.

On the rare occasion you receive an unfavorable review, you can reach out to the buyer or leave a response.

In addition to our rules for Creating and Uploading Content in Section 2a, reviews and your response to reviews may not:

Contain graphic, mature, or obscene language or imagery, or any content that is subject to our mature content policy;
Be about things outside the seller’s control, such as a shipping carrier, Etsy or a third party;
Include shilling or otherwise falsely inflate a shop’s review score; or
Undermine the integrity of the Reviews system.

b. Etsy’s case system

The Case system is how a buyer notifies Etsy of an order issue or dispute that they’re unable to resolve with a seller, in order for Etsy to help them reach a resolution.

“Buyers must contact sellers directly via the Help with Order link and attempt to resolve any outstanding issues before opening a case on Etsy.”

For this reason, it is important that you fill out your shop policies and regularly respond to messages from your buyers. Once a buyer contacts you to notify you of a problem with an order, you will have 48 hours to resolve the issue. If the issue is unresolved in this time frame, a case may be opened by the buyer. Once a case has been opened, Etsy will assist in the resolution of the case between the buyer and seller. This may include, but is not limited to, automatically closing the case and issuing a refund to the buyer, or reviewing the case further to help the buyer and seller resolve it as quickly as possible.

Etsy reserves the right to resolve an order issue before the 48-hour window for circumstances including, but not limited to, seller inactivity, harassment, refusal of service, manipulation, and undermining the integrity of the case system.

Buyers may file a case for items that never arrive, arrive damaged, or do not match the listing description as part of Etsy’s Purchase Protection Program (for more information on case eligibility, click here). Etsy may request your assistance in resolving a case opened against your shop. By using Etsy’s case system, you understand that Etsy may use your personal information for the purpose of resolving disputes with other members. For certain cases, sellers are protected by Etsy’s Purchase Protection Program. If the case falls outside of Etsy’s Purchase Protection Program for Sellers, unless otherwise required by law, you will be required to refund the order, including original shipping and return shipping. Etsy reserves the right to issue a refund to the buyer and recoup funds from your account, including your payment account reserve, if payment was made via Etsy Payments.

c. Your seller account and Etsy’s terms

In order to keep Etsy safe and improve our Services, Etsy may take actions that limit the visibility of your shop, listings or ads, or that impact your payment account. In the event a shop sees unusual order activity, or Etsy otherwise believe that your actions or shop may result in buyer disputes, chargebacks, increased risk of fraud, counterfeiting, or other claims, Etsy may take actions such as limiting visibility of your account, or placing restrictions or reserves on your payments account, in accordance with their Terms of Use, including this Policy and Etsy Payments Policy. When appropriate and permitted by law, Etsy will communicate information to the affected seller about the issue.

In the event a shop sees an unusual spike in orders, particularly in a high demand category, a shop may see an increase or decrease in its search ranking. Often, if a shop sees an increase in fulfilled orders and good reviews, this may result in higher visibility and search rank. However, sometimes a rapid increase in orders can reduce visibility. In addition, Etsy may limit the visibility of listings or ads in the interest of keeping Etsy safe, and improving their Services. For example, listings or ads may have decreased visibility because they include terms that represent a prohibited item or based on third party policies. These listings or ads may also be restricted from appearing in one or more features of the Services. While these listings or ads may have limited visibility, they are still discoverable in search.

Etsy may make changes to onboarding or authentication processes for sellers at their sole discretion. Completion of these processes may be required for seller account activation or continued access and usage.

If Etsy has reason to believe you, Your Content, or your use of the Services violate their Terms, including this Seller Policy, Etsy may deactivate Your Content to some or all users, or suspend or terminate your account (and any accounts Etsy determines is related to your account) and your access to the Services. Sellers in the European Union can see more information here. Generally, Etsy will notify you that Your Content or account has been suspended or terminated, unless you’ve repeatedly violated their Terms or Etsy have legal or regulatory reasons preventing us from notifying you.

d. Etsy’s purchase protection program for sellers

Everything you need to know about Etsy handmade policy

Handmade on Etsy is a spectrum of makers and designers. Read more below about your obligations as a handmade seller.

This policy is a part of Etsy Terms of Use. By listing handmade items for sale through Etsy, you’re agreeing to this policy and Etsy Terms of Use.

1. Selling handmade items

Handmade on Etsy is a spectrum. On one end, we have makers — sellers who are literally making their items with their own hands (or tools). On the other end, we have designers — sellers who design their items but rely entirely on outside assistance or another business to help physically produce them. Many handmade sellers fall in the middle of the spectrum because they are both making and designing their items.

Regardless of where you fall on this spectrum, you must be transparent about who is helping you and how your items are being made. Everything listed as handmade must be made and/or designed by you, the seller. Reselling is prohibited in the handmade category. You may also have shop members who help you run your business, as long as you, the seller, are making and/or designing your items.

Makers

A maker is a seller who is physically making the items listed for sale in their Etsy shop. A maker might design their items in addition to making them, or they might follow a pattern or template that they did not design. Regardless, makers must be creating their items with their own hands (or tools).

Designers

A designer is a seller who has come up with an original design, pattern, sketch, template, prototype, or plan to be produced by in-house shop members or a production partner. Simple customization, such as selecting colors, shapes, or choosing from ready-made options is not considered design on Etsy.

If you are a designer and you are using a production partner to help make your items, you must also disclose information about your production partner in your listings. A production partner is anyone (who’s not a part of your Etsy shop) who helps you physically produce your items.

2. Using production assistance

Designers may work with production partners to help make handmade items in certain circumstances. Keep in mind that people come to Etsy to discover items that they might not find anywhere else. Your design and production process should lead to the creation of a unique item that would not exist without you, the designer.

We expect your production partner to produce items themselves in their own facilities. A contractor or agent who outsources production may not be used as a production partner. Examples of production services include, but are not limited to, printing, apparel printing, 3D-printing, casting, plating, engraving, cutting and sewing, and finishing.

If you work with a production partner, you must disclose certain information in the listing process, including:

The name of your production partner(s);
The location of your production partner(s);
Details about the nature of your partnership and design process; and
A general description of the work your production partner does for you.

You may choose to keep the name of your production partner and details about your partnership and design process confidential (visible only to select Etsy employees), but the location and description of your production partner will appear on your About section and listings.

Etsy may reach out to you at any time with a more detailed inquiry about your business. Please be prepared to provide additional details about the origins of your business, your role in the design process, your production process, and your connection to your production partner, as well as what efforts your production partner has made to follow Etsy ethical expectations.

We understand that you may wish to keep the details of your design and business practices confidential. Please be assured that Etsy will not use the private information you provide us for any purpose other than reviewing your business to determine that you are in compliance with Etsy policies.

Etsy reserve the right to reject any production partnerships that aren’t in the letter or spirit of this policy or their ethical expectations.

3. Being transparent about your business

At Etsy, we value transparency. Transparency means that you honestly and accurately represent yourself, your items, and your business. As a handmade seller, you agree to:

Disclose in your About section the names and roles of people who help make your items or run your business;
Use your own words and photographs (not stock photos) to describe your items; and
Respond to any inquiries from us in a timely manner. We may ask you: how your items are made, what workspace, tools, and equipment you use; and how you communicate and collaborate with the people who help you run your shop.

Remember:

Etsy marketplace is built on trust. Providing false, inaccurate, or misleading information is prohibited by Etsy Terms of Use. If we find that you’re not being open and honest with us, we may suspend or terminate your account.
